Get started with an AI assistant in everyday life
The first AI habit that actually saves time: an assistant for emails, texts and decisions. How to choose a chat, get started in ten minutes and avoid beginner mistakes.
Most of the AI benefit in a small business does not come from specialised tools but from a single habit: having an AI assistant open in a tab and using it for everyday texts, questions and decisions. Here is how to get started.
Choose your assistant
All four major ones have free tiers that go a long way:
- ChatGPT is the broadest: text, images, apps, most features.
- Claude: best at longer texts and nuanced Swedish.
- Mistral: the European choice, with EU data storage.
- Gemini: smoothest if you already live in Gmail and Google Docs.
Unsure? Start with the one that fits your data handling: sensitive operations → Mistral; otherwise the one you like the tone of. You can switch at any time.
Three habits that pay off immediately
- Email drafts. Paste in the email you received, write “reply politely, say yes to the meeting but suggest Thursday instead”. Edit, send. Saves a quarter of an hour a day.
- Thinking out loud. “I’m considering raising the price by 10 %. List pros and cons and what I should check first.” The AI is an inexhaustible sounding board.
- First drafts of everything. Quote, ad, policy, job description: always ask for a draft instead of staring at a blank document.
How to write good prompts
Give role, task and tone: “You are an accounting assistant in a small construction company. Write a reminder about an overdue invoice, friendly but firm.” Follow up with changes in the conversation (“shorter”, “more formal”) instead of starting over.
Beginner mistakes
- Do not enter personal identification numbers, customer data or secrets into free versions: they may be stored outside the EU and lack data-processing agreements. More in our GDPR guide.
- Do not blindly trust facts. The AI sounds confident even when it is guessing. Numbers, prices and legislation you check against the source.
- Do not give up after a poor answer. Write what went wrong; the second try is usually right.
