AI support in accounting often combines document interpretation, rules, and pattern recognition. The program can read details from a document, match them against a bank transaction, and suggest how the transaction should be booked. Exactly what is automated varies between services and subscriptions.
How AI accounting works in practice
- Photograph the receipt. Most programs have an app where you photograph paper receipts and email in digital invoices.
- The AI reads. It extracts amount, date, VAT, and supplier. Some tools also handle multi-page invoices and foreign currency.
- Booking suggestion. Depending on the service and subscription, you get a match, a booking template, or a suggestion for account and VAT.
- Your review. You approve or correct. You are still responsible to the Swedish Tax Agency and the auditor.
- Reporting. At VAT and year-end, you already have the material collected, so you or the auditor avoid hunting for receipts in boxes.

GDPR and security
Accounting documents can contain personal data. If a cloud service processes them on behalf of the company, a data processing agreement is normally required. Check for each supplier and subscription:
- that the supplier offers a data processing agreement (DPA)
- who has access to your documents
- whether support staff can see your receipts
- which sub-processors are used and whether data is transferred outside the EU/EEA
Common mistakes
- Blindly trusting the AI. It may post a lunch as representation instead of meal expense, or miss that an invoice is subject to reverse VAT.
- Postponing review. The more receipts pile up, the harder to correct. Do it every week.
- Mixing private and business. Many programs have a private/business button — use it consistently.
When does AI accounting pay off?
AI support becomes more interesting when you have many recurring documents, supplier invoices, or expenses. Calculate the value of the time actually lost in registration and reconciliation, and compare it to subscription, transaction fees, and the time still required for control.
